Overview

Schools have the ability to create an individual schedule for a student based upon the Course Requests that have been entered in the system. Schools can also add, edit and remove Course Requests without submitting any changes to the system. This allows schools to try different combinations of Course Requests in order to build an individual’s schedule without making any permanent changes to the Requests that have been made.

Please note that schools can only use this feature when schedules are still being built within the Scheduler Builder. Once the final schedule and enrollments have been committed to the system, schools will need to use the Veracross Class Enrollment Manager to create schedules for late or mid-year enrollees. 

Once a school approves the schedule for an individual, they are able to Overwrite the Schedule and Course Requests for the student which will the save and lock the Course Request changes and the schedule for the student within the Result Template.

Accessing the Single Student Scheduler

To use the Single Student Scheduler, schools will first need to select a Result within the Scheduler. When a Result has been selected, schools can access the Single Student Scheduler two different ways.

Note: We recommend using Google Chrome as the internet browser when using the Single Student Scheduler. 

1) Schools can click on the Students tab. Next to each student’s name there is a Flask Icon, schools can click on the flask to launch the individual student’s Student Scheduler.

2) Schools can access the Single Student Scheduler through the Student’s record. On the student’s record within the Scheduler there will be a Launch Student Scheduler button. Clicking on this button will bring schools to the student’s Single Student Scheduler.

Course Requests

Schools can add, edit and remove Course Requests without submitting any changes to the system. On the right hand side, there will be a list of the current Course Requests that have been entered in the system for the chosen student. The Course Requests are organized by request groups. As Course Requests are being added, edited and removed, schedule Solutions will appear on the left hand side of the Single Student Scheduler. Schools will also be able to view the current schedule of the student based on the Result the school is looking at for reference.

Adding Course Requests

Schools can add additional Course Requests to the current list by clicking on the New Course Request button and filling out the fields to enter a new request. The request will then appear within the request group that you indicated. An orange dot will appear next to the Request to indicate that a change has been made but the data has not been saved. Below the request the list of class options will be displayed. As requests are being added the system will automatically generate possible schedule Solutions to the left of the Course Request list.

Editing Current Course Requests

Schools are able to edit existing Course Request configuration by clicking on the Pencil Icon next to the Request. Schools can then change the Group, Priority or Grading Period for the Request. An orange dot will appear next to the Request to indicate that a change has been made but the data has not been saved. As requests are being edited the system will automatically generate possible schedule Solutions to the left of the Course Request list.

To change Course or Class Configuration, schools can click on the Arrow Icon next to the Request.Clicking this button will open a new tab or window to the Configuration record of the Course so that schools can easily edit information as needed.

Selecting Classes within Course Requests

Schools are able to select specific classes within a Request to be included in the schedule Solution.When a class is selected, a Lock Icon will appear next to the class. The scheduler will automatically populate a Solution that will show those classes listed within the schedule. Only one class within a Course Request Group can be selected.

All classes that have been included in the schedule Solution will be highlighted in Green.

Deleting Course Requests

Schools have the option to delete Course Requests from the list by clicking the Trashcan Icon next to the Request. By removing the Course Request, the scheduler will not use this request when generating the schedule Solution. Removing the request within the Scheduler does not remove the request from the system.

Schools can also uncheck the display box next to a Course Request so that the Course Request is not factored into the schedule Solution.

Solutions

Anytime schools make a change to Course Requests, the scheduler will figure out all the possible schedule Solutions for the student based on the changes that are made. Schools can toggle between Solutions by clicking on the prev button or by using the scroll bar below the Solutions.

As schools scroll through the schedule Solutions, the Course Requests that are being met with each schedule Solution will be highlighted in green.

Favorites

Schools can add specific Solutions to the Favorite tab within the Single Student Scheduler so that they can keep track of schedule options that they like.

Schools can click the favorite_001 button in order to have the Solution appear on the Favorite list.

The favored Solution will then show on the Favorite tab. Schools can toggle between Solutions by clicking on the prev button or by using the scroll bar below the Solutions.

To remove a Solution from the Favorite tab, schools can click on the unfavorite button.

Overwrite Schedule and Course Requests

When schools are ready to commit the Course Request changes and the schedule Solution to the system for a student, schools can click the Overwrite button. Please Note: By clicking this button the Course Request list that is currently displayed and the Solution that is currently displayed will be committed to the database. Schools will need to be sure they are viewing the correct schedule Solution and Course Request list before clicking overwrite schedule and course requests. This will overwrite the student’s existing enrollments and course requests.
