There are two different ways to look at the overall status of a pledge. The first is using calculations which are based on the Pledge Reference Date, and the second way is to use calculations which are not date sensitive.
Pledge Reference Date
The pledge reference date allows you to see the status of pledges before a certain point in time. It serves as an end date for all of the PTD_* calculated fields. One of the benefits of this field is that it allows you to consider only those pledge installments within a certain range of time. For example, if the reference date is set to today, then each of the calculations reflect how that person/organization is doing on their pledge before today. More specifically, the PTD_Total will reflect the amount expected to have been received before today, the PTD Received will show how much has actually been received before today’s date, and the PTD Owed and Outstanding fields will show the difference, including or excluding writeoffs. If the pledger is all up to date on their pledge, then the owed/outstanding fields should show zero. If they have installments which the school expected to have received as of the date, then the sum of those will be reflected. The benefit of this is that it allows you to not consider any future payments which the pledger has not had time to fulfill yet because those individual installments have not come due yet.
It might also be beneficial to set the date to the end of the year. If you do that then the PTD_* fields will display totals in relation to the end of your year. This allows you to see the status of each pledge at the end of the coming year. The PTD Total will reflect how much you hope to have received by that time for that pledge; the PTD Received will show how much has actually been received and the PTD Owed and PTD Outstanding will reflect how much is still expected to be paid by that date.
The pledge reference date can be modified on the Development homepage under the “Configuration” section.
All of the PTD_* calculations are based off of the pledge reference date.
The PTD Total is the amount of money that is expected to be received for this pledge as of the pledge reference date. So if the pledge reference date is today, then the PTD Total for that pledge would be the sum of all installments which have a due date before the reference date.
The PTD Received is the amount of money that has been received for this pledge as of the pledge reference date. So if the pledge reference date is today, then the PTD Received for a pledge would be the sum of all donations that have been made against that pledge and whose receipt date is before the reference date.
The PTD Owed is the amount of money that hasn’t been paid as of the pledge reference date. So if the pledge reference date is today, then the PTD Owed for a pledge would be the PTD Total minus the PTD Received.
The PTD Outstanding is the amount of money that hasn’t been paid or written off as of the pledge reference date. So if the pledge reference date is today, then the PTD Outstanding for a pledge would be the PTD Owed for that pledge but also include any writeoffs which had been made as of the reference date.
The PTD Writeoff is the total amount of money that has been written off for this pledge as of the pledge reference date.
The Pledge Amount is the total amount that was pledged.
The Total Received is the total amount of donations that have been received for a pledge.
The Total Owed is the total amount of the pledge minus the total amount received.
The Total Outstanding is the total amount of the pledge minus the total amount of donations received and any writeoffs.
