Person-Communication Detail Screen

Overview

Schools can monitor email activity on a person-by-person basis using the Person Communication detail screen. This detail screen contains information regarding general contact information, communication preferences, and whether the person has been placed on the Bounce or Spam list. It also allows schools to see all of the emails that have been sent by the person, all emails that were sent to the person, and any system or notification emails that have been sent.

Communication Detail Screen

In order to access the Person Communication detail screen, schools can run the Find People query in the Configuration section at the bottom of the Communication homepage and then clicking “View Detail” link in the Communications Detail column. This will open the Communication Detail record for the person.

General Tab

On the General tab, schools are able to view the person’s general contact information including email addresses, phone numbers and communication preferences.

Email Autocorrect

If the system attempts to send the person an email and the email address appears to be incorrect (e.g., john.smith@gmial.com is spelled incorrectly), the system will populate a suggested address in this field. Schools can then decide if they would like to replace the existing email address with the suggested email address. Schools can then manually update the person’s email address on the general tab and click Update Person – Communication. This will update the information on the person’s record.

Bounce List Status

On the Person Communication detail screen, schools are able to review the Bounce List Status for the person. If the status says “On List (Not Receiving Emails)” schools will need to change the status to “Remove from List” and click Update Person – Communication. The system will then remove the person’s email address from the Bounced Report list. If the status is “–” the person is not on the list. Read more about the “Bounce” delivery status.

Spam List Status

On the Person Communication detail screen, schools are able to review the Spam List Status for the person. If the status says “On List (Not Receiving Emails)” schools will need to change the status to “Remove from List” and click Update Person – Communication. The system will then remove the person’s email address from the Spam Report list. If the status is “–” the person is not on the list. Read more about the “Spam” delivery status.

Emails Sent Tab

Schools are able to see a list of all of the emails that have been sent by the person to a group distribution list. Examples of group distribution lists would be all staff: vcsandbox.g_staff@mail.veracross.com, all current students: vcsandbox.g_all_current_students@mail.veracross.com, all students enrolled in Spanish Class: vcsandbox.c_5306~span_1.s@mail.veracross.com, etc.

Schools can see the Total Recipients of the email, the Delivered percentage and the Opened percentage. Schools can also click on the Subject link to access the Email record.

Note: This list will only include emails that are sent to Group Distribution lists.

Emails Received Tab

Schools are able to see all of the emails that have been sent to the person through a group distribution list. Schools can view the Sender Name, the delivery Status and also the Mailbox Response (the response from the Recipient’s mail server, if one was given). Schools can also click on the Subject link to access the Email record.

Additionally, schools can access the Person Email record to view a full history of the individual’s email statuses for the email by clicking on the magnify glass.

Note: This list will only include emails that are sent to Group Distribution lists.

System Emails Tab

Schools are able to see all of the emails that have been sent to the person by the system. This will include Welcome Emails, Forgot Password Emails, Behavior Emails, Attendance Reminders, etc. Schools can also click on the Subject link to access the Email record.

Note: Currently there are no delivery statuses for System Emails.
