Parent/Teacher Conference Troubleshooting

Overview

When publishing parent/teacher conferences to the portals, there are a number of common misconfigurations that typically arise. We've compiled steps for fixing the most common misconfigurations in this article so you can troubleshoot issues that arise before submitting a ticket with client support.

Prior to troubleshooting, you should first read the Parent/Teacher Conferences Setup & Overview article to make sure you fully understand the parent/teacher conference workflow.

Troubleshooting Steps

If you've opened up parent/teacher conferences on the parent portal but no teachers and/or conference times are displaying under a selected child, you should check the following:

Is the class status set to "Active"?

The class must have a Status of "Active" to have parent/teacher conferences display. You can check the status of a class by performing the following steps:

  1. Beginning from the System homepage, click on the Find Classes query.
  2. Search for the class in question on the query results page and click into the class record.
  3. On the General tab, the Status field must be set to "Active" to have parent/teacher conferences display for it.

Is the course type set as "Non-Academic"?

For classes in a course to have parent/teacher conferences display, the course CANNOT have a Course Type of "Non-Academic". To check and see if a class's course has the "Non-Academic" course type:

  1. Beginning from the System homepage, click on the Course List query.
  2. Search for the course in question on the query results page and click into the course record.
  3. On the General tab, the Course Type field cannot be set to "Non-Academic" to have parent/teacher conferences display for it.

Does the course have the "Include in Parent/Teacher Conferences" field set as "YES"?

For classes in a course to have parent/teacher conferences display, the course must have the Include in Parent/Teacher Conferences field set as YES. To see if this field is set correctly:

  1. Beginning from the System homepage, click on the Course List query.
  2. Search for the course in question on the query results page and click into the course record.
  3. On the General tab, the Include in Parent/Teacher Conferences field must be set to "YES" to have parent/teacher conferences display for it.

Is the correct primary teacher set for the class?

Parent/teacher conferences only display for scheduling for teachers that have the Role of "Primary Teacher" set on the Permissions tab of the class record. To check teacher roles for a class:

  1. Beginning from the System homepage, click on the Find Classes query.
  2. Search for the class in question on the query results page and click into the class record.
  3. On the Permissions tab, the Role column must be set to "Primary Teacher" for the teacher to be able to schedule conferences on their portal.

Does the class have the "Parent Portal Visibility" field set to "Show"?

Classes must have the Parent Portal Visibility column set as "Show" on the Review Class Configuration query for conferences to display in the parent portal. To check this value:

  1. Beginning from the System homepage, click into the Review Class Configuration query and find the class in question on the query results page.
  2. Scroll all the way to the right and ensure that the value in the "Parent Portal Visibility" column is set to "Show".

Does the student's enrollment record for the class have a withdraw date populated?

If a student's enrollment record for a class has a value populated in the Date Withdrawn field — even if it is in the future — conferences do not display for that student for that class. To see a student's class enrollment record, perform the following steps:

  1. Beginning from the General tab of the relevant class record, click the "View Record" pop-out button next to the student's name to navigate to that student's class enrollment record.
  2. Ensure that the Date Withdrawn field isn't populated — if any value is populated here, conferences do not display for that student for that class.
