Groups and Distribution Lists

Overview

In this unit, we'll take an in depth look at distribution lists, how they're built, and how to use them.

System and School-Defined Groups

After watching this video answer or complete the following:

  1. What are system groups?
  2. How can you find groups?
  3. What are school-defined groups? How do you find them? How do you add them?
  4. On a group detail screen, what do each of the communication links do?
  5. Find three groups in three different categories; note their name, email distribution list, member count, and number of members with email. 
  6. "I need a list of names and email addresses for ninth grade parents exported to Excel." Navigate to the appropriate group and produce this exported spreadsheet.
  7. How can you add people to a school-defined group?

Distribution Lists

After watching this video answer or complete the following:

  1. What is a distribution list?
  2. Distribution lists are based on groups. System groups are dynamic. What is the significance of that for communications?
  3. Can anyone use a distribution list? What security is there?
  4. There are two email fields on person records: Email_1 and Email_2. How do they each factor into sending and receiving distribution list emails?
  5. Can a person receiving an email distribution list (e.g., a parent who received an email sent to the "All Parents" list) see the emails of everyone who got the email? What happens if they click "Reply All"?
  6. Where can you find distribution lists? 
  7. Navigate to a class record and find the distribution lists. What lists are available for a class? Whom do they email?
  8. Navigate to a teacher's person record and click the Communication tab. What email and distribution list information is available here?
  9. Navigate to a student's person record and click the Communication tab. What email and distribution list information is available here?
