Giving History is a record that contains comprehensive data on giving by a specific donor to a specific campaign. “Donor” in this case means either a household or organization. Tracking giving per campaign for each household and organization allows detailed historical tracking and comparison across multiple years and campaigns.
When thinking about donors in Veracross, it is important to think of them as households and organizations, not individuals. The Giving History records help to organize household and organization giving per campaign. Giving History records provide a comprehensive way to create queries and reports on donor giving, including development summary reports.
On the Household detail screen, the Giving History tab provides a comprehensive summary for a household’s giving over all time. Some all-time giving information is summarized at the top and all giving history records for that household are listed below to get a quick view of how the donor has given over time.
Campaign Specific Details
On a giving history record, specific giving details for the donor for the campaign can be seen.
Each record is associated with a specific campaign. This field cannot be updated once the record has been created.
Giving Status: Use to track where this donor is in the giving process for this campaign. Defaults to N/A; can be manually updated to Refused, Soft Commitment or Hard Commitment; will automatically update to Gave when a pledge or donation has been made.
Communication Status: Use to track where this donor is in the communication process for this campaign. Defaults to Not Contacted; can be manually updated to Contact Attempted, Solicited/Solicitor to Follow-up or Requires Staff Follow-up; will automatically update to Complete when a pledge or donation has been made.
A summary of giving by the donor to the specified campaign. Target Amounts can be set by the development office in order to manage goals and calculate performance. Total Giving (donations, pledges and soft credits), Pledge Balance and Matched Amount are also available. Additional giving numbers are available and can be utilized when running Giving History queries (e.g. Total Donations, Total Pledges, Total Donation Soft Credit, etc.).
Giving information for the donor from prior years and all time.
Last Year Total Giving: Total Giving (donations, pledges and soft credits) to the prior year AF campaign. This field only shows AF data as those are the campaigns that are typically year specific.
Total Donations: All time total donations (all campaigns and funds across all years)
Total Outstanding: Total pledge balance outstanding for all pledges across all campaigns/funds for all years.
Consecutive Years Giving: The number of years given consecutively to the Annual Fund campaign.
Attributes are campaign specific descriptors of a donor and serve to categorize the donor for this campaign/year in several ways, including Development Roles, Solicitation Groups, Giving Categories, Solicitation Methods and Giving Methods. Solicitation Groups, Solicitation Methods and Giving Methods are all manually assigned to a donor’s giving history record. Donor Giving Categories are giving levels defined by the school but will be populated by the system based on campaign giving and the definition of the giving categories that the school has defined.
The field labeled “N/A” can be used as a school-specific categorization used to classify donors in some way. An example of this might be a coding system the school has defined to put people into categories for a priority they should be considered for solicitation purposes – High, Medium, Low, etc. or a Pipeline to help determine how best to solicit a donor.
Other attributes are simply yes/no fields to categorize a donor giving history record as:
Solicitable: Determines if the donor is solicitable for this campaign. This field will default to be “Yes” (checked) for all but will be set to “No” (unchecked) during the refresh procedure if any of the following conditions are true (i.e. a donor is assumed “solicitable” unless):
- The Household Do Not Solicit field is selected (this field is read-only, and is flagged if any member within the household has DNS flagged on their person record).
- The Household has no address, phone, or email address
- There are no household members
See further documentation to learn more about designating people as do not solicit and how that affects the person and household records.
First Time Donor: A calculated field indicating whether this person is a first time AF donor with their donation to this campaign.
LYBUNT: Last Year But Unfortunately Not This. A calculated field indicating if this person gave to last year’s AF campaign but not to this year’s AF campaign.
SYBUNT: Some Year(s) But Unfortunately Not This. A calculated field indicating if this person gave to a prior year’s AF campaign but not to this year’s AF campaign.
Development classifications are campaign specific attributes for the donor that can be seen on the Classification tab of a giving history record. See the full documentation to learn more about Giving History Classifications.
