Overview
This article explains the fields on the general tab of the Application detail screen as well as the general tab of the Applicant/Prospect detail screen (also referred to as the Candidate detail screen).
Application Detail Screen – General Tab
First Column
- Name: the name of the applicant in the format of last, first.
- Current School: the organization that is marked as ‘primary organization’ on the Schools tab of the Applicant.
- Current Grade: the current grade of the applicant.
- Year Applying For: the Year Applying For of the applicant.
- Grade Applying For: the grade applying for of the applicant.
- Res. Status Applying For: the resident status applying for of the applicant.
- Financial Aid Requested: the application field called ‘requesting financial aid.’
Second Column
- Inquiry Date: the inquiry date from the Person Admission record.
- Application Date: the date the application was inserted.
- Visit Date: the date of the visit from the General tab of the Prospect/Applicant record. This comes from the Admissions Visit Group Event and can also be manually entered.
- Admissions Counselor: displays the Admissions Counselor selected on the General tab of the Prospect/Applicant record. The list of Admissions Counselors is defined as those with the Admissions_1 or Admissions_2 security roles, plus anyone added as ‘Application Reviewers’ via the System Homepage.
- Interviewer: displays the Interviewer selected on the Interview tab of the Prospect/Applicant record. The list of Interviewers is defined as those with the Admissions_1 or Admissions_2 security roles, plus anyone added as ‘Application Reviewers’ via the System Homepage.
- Admission Code: a school defined level of preference that is entered on the Application record.
- Likely to Yield: indicates the likelihood of the applicant becoming a student.
Third Column
- Admission Decision: indicates the school’s decision regarding the applicant.
- Admission Decision Date: the date upon which an Accept, Deny, or Waitlist decision has been made. Is automatically populated, but can be manually changed.
- Enrollment Decision: indicates the applicant’s decision in response to the school’s admission decision.
- Enrollment Decision Date: the date that an Accept Offer, Decline Offer, Waitlist Accept, or Waitlist Decline enrollment decision has been made. Is automatically populated, but can be manually changed.
- Enrollment Decline Reason: if applicable, the reason that the applicant declined.
Fourth Column
- Stud. Group Applying For: the school defined student group that the applicant is applying for.
- Campus Applying For: Used by multi-campus schools, the campus that the applicant is applying for.
- Visit: a link to the Admission Visit record.
- Financial Aid Application: a link to the Financial Aid application for the applicant.
- Admissions Points: Schools may have custom logic for this field. By default, it shows:
- 1 point if the Applicant is related to a school employee,
- 1 point if the Applicant has siblings who are Students, Former Students, or Alum, and
- 1 point for each ancestor that attended the school.
- Applied Previously: indicates whether the applicant has applied in a prior year.
Prospect/Applicant (Candidate) Detail Screen – General Tab
*Note: Fields deemed self explanatory have not been included below.
First Column
- Ethnicity: indicates ethnicity based upon the school’s defined list of ethnicities
- Age: The calculated age (years) of the person based on their birthday
- Current School: The organization that is marked as ‘primary organization’ on the Schools tab of the person
- Email 1: The preferred email that will be used for email blasts and other electronic correspondence
- Household: A link to the physical place of residence for this person
- Multiple Households: Indicates whether this person has one or more parents (based on legal custody) who live in a separate household
- Parent 1: A calculated field displaying the Parent 1 of the person, based on the logic outlined here.
- Parent 2: A calculated field displaying the Parent 2 of the person, based on the logic outlined here.
- City, State, Postal: The city, state, and postal code of the person’s household
- Country: The country of the person’s household
- Phone: The phone number of the person’s household
Second Column
- Year Applying For: The person’s year applying for
- Grade Applying For: The person’s grade applying for
- Res. Status Applying For: Used by boarding schools; the resident status that the person is applying for
- Stud. Group Applying For: The school defined student group that the person is applying for. May not be applicable to your school
- Campus Applying For: Used by multi-campus schools; the campus that the person is applying for
- Current Grade: The current grade of the person
- Applied Previously: Indicates whether the applicant has applied in a prior year, based upon prior year application records
- # of Siblings Enrolled: The number of siblings of the person, where sibling has the person role of Student or Future Student
- # of Siblings Applying: The number of siblings of the person that are applying to the school, where sibling has the person role of Prospect or Applicant.
- Legacy Status: Indicates whether an individual had ancestors that graduated from the school. The legacy status is displayed as [number of ancestors who are alums].[generation].
For example, a legacy status of 2.3 would mean the individual has two ancestors who are alums, and that the individual is the 3rd generation to attend.
The generation is calculated from whether the individual’s parents also had ancestors to attend the school and if so, did those ancestors have parents that attended the school, and so forth. The generation number designates how many times this occurs. Veracross considers ancestors to be those with the relationships of Mother, Father, Step-mother, or Step-father
- Staff Family: Indicates if this family contains one or more staff/faculty members. This includes relatives of staff and faculty.
- Interests: A list of the person’s interests from the ‘Interests’ tab of the person
- Financial Aid: Aid Requested: A checkbox indicating whether financial aid is requested
- Financial Aid: Application Status: The status of the financial aid application
- Financial Aid: Application Details: A link to the Financial Aid Application detail screen
- Financial Aid: Award Package Status: The status of the award
- Financial Aid: Award Package Details: A link to the Financial Aid Award Package detail screen
Third Column
- Inquiry Date: the inquiry date from the Person Admission record.
- Application Date: the date the application was inserted.
- Visit Date: the date of the visit from the General tab of the Prospect/Applicant record. This comes from the Admissions Visit Group Event and can also be manually entered.

- Reviewers: A list of the reviewers from the Review tab of the application. This will show the reviewer’s last name, then reviewer type, then reviewer recommendation. For example: “Jones/Reviewer: Highly Recommended”
- Admission Decision: Indicates the school’s decision regarding the applicant.
- Admission Decision Date: The date upon which an Accept, Deny, or Waitlist decision has been made. Is automatically populated, but can be manually changed.
- Enrollment Decision Date: The date that an Accept Offer, Decline Offer, Waitlist Accept, or Waitlist Decline enrollment decision has been made. Is automatically populated, but can be manually changed.
- Enrollment Decline Reason: If applicable, this field can be used to indicate the reason that the applicant declined. This field is automatically populated when the Enrollment Decision Reason is updated on the Application Record.
- Enrollment Status: The enrollment status of the applicant. Explanation of enrollment status’ can be found here.
Fourth Column
- Application: Link to the Application detail screen
- Admission Portal: Links to the screen that controls the Admission Portal. This screen is elsewhere referred to as the Person Admission screen.
- Online Enrollment: Links to the Online Enrollment detail screen
- Parent 3: A calculated field displaying the Parent 3 of the person, based on the logic outlined here.
- Parent 4: A calculated field displaying the Parent 4 of the person, based on the logic outlined here.
- Admissions Points: Schools may have custom logic for this field. By default, it shows:
- 1 point if the Applicant is related to a school employee,
- 1 point if the Applicant has siblings who are Students, Former Students, or Alum, and
- 1 point for each ancestor that attended the school.
- Data Integrity: Displays integrity issues identified for this person. If non-zero, click on the number to view and fix the issues.
