Entry and Copying Options for Group Events

Overview

There are three different ways that schools can input calendar events into Veracross: Manual Entry, Copy Events to the Next School Year and the Event Importer Tool. Schools will often use a combination of these input methods in order to add calendar events for the next school year.

Manual Entry

Schools can manually enter all calendar events as group events into Veracross by clicking on the Add Group Event link located on the Main page in Axiom. For more information on how to enter group events, schools can view documentation on Group Event Management.

Copy Events to the Next School Year

As an alternative to manually entering the same Group Events from the current school year to the next school year, schools can automatically copy group events from one year to the next using the copy calendar events procedure.

Users that have the security role of Sys_Admin orCalendar_Admin can click on the lightning bolt on the System homepage in Axiom and select “Copy YY-YY Calendar Events to YY-YY” to run the procedure. This procedure is safe to run multiple times, as duplicate events will not get created.

The copy calendar events procedure will copy all group events where the Event Type is No School and Holiday and will increment the event start dates by one year. Upon running this procedure, schools will need to verify that the No School and Holiday group events were properly created and then adjust any dates as needed.

The procedure will use the correct dates for the following holidays:

• Labor Day
• Columbus Day
• Veteran’s Day
• Thanksgiving
• Martin Luther King Day
• President’s Day
• Good Friday
• Memorial Day

Note: If schools have any questions or issues they will need to contact their Account Manager via a ticket on the Client Portal.
