Overview

The Application Review homepage is a location in Axiom to create, edit, and manage the application review process. Search for candidates, reviews by various criteria (recently updated or completed, by recommendation, by exceptions and mismatches, etc.), and configure all aspects of the process (reviewers, reviewer types, criteria categories and criteria, and recommendations).

Primary Query Buttons

At the top of the homepage are three large buttons for quick access to commonly used queries.

Find Candidates

Click to find all admission candidates (prospects, applicants, and leads), regardless of application review status. The same query is found on the Admissions homepage.

Reviewer Summary

The Reviewer Summary query gives an overview of all recommendations in each of the preset categories (pending, discuss, accept, waitlist, reject) for each configured reviewer. This can be a helpful place to keep an eye on the overall “results” of the application review process as reviewers complete their work.

My Applications for Review

This query displays all reviews assigned to the user currently logged in. Note that in the query design, the Reviewer field has the criterion {me}. This query has two main uses:

  • Most obviously, the current user can see all reviews assigned to them.
  • The query URL can be sent to a reviewer who does not have access to the Application Review homepage (but does have the Admissions_Reviewer security role) so they can see their reviews.

Reports

A number of prebuilt reports are available to track the progress of application reviews. There are three sections of reports: Reviews, Summary Reports, and Review Exceptions. All queries, unless otherwise noted, use the active admissions year as the “Year Applying For.”

Reviews

Search for application reviews by several search criteria.

  • Find Application Reviews: The broadest query, apply any desired search criteria or none to search for all reviews.
  • Recently Updated and Recently Completed Reviews: Search for reviews that have been updated or completed (respectively after the beginning of the previous week.
  • Reviews with Concerns: Shows any reviews (regardless of application or review status) with concerns. Note that the concerns are at the review level, not individual review criteria.
  • By Recommendation Category: Displays all reviews with the specified recommendation category.

Summary Reports

Summary reports break down the recommendation categories by gender, grade applying for, etc. The Criteria Assessment Distribution query counts the number of assessments (scores) given for each criterion. A blank in the Assessment field means that no assessments have been given in that criterion.

Review Exceptions

View mismatched reviews and “important” rejections (e.g., rejections of candidates related to alumni), as well as recommendations by “fittingness.”

  • Mismatched Recommendations: A mismatch occurs when two or more reviewers give different recommendations, e.g., one reviewer recommends “Reject” and another one recommends “Accept.” The mismatch can be of the recommendation or recommendation category.
  • Important Rejections: View rejected applications of candidates who are related to alumni, staff, a current student, or board member.
  • Recommendation by Fittingness: View application recommendations summarized by likeliness to yield and application status.

Configuration

Nearly all configuration for the admissions application review workflow is accessed from this page. The exception is the “Create Review Records” field, available on the “Application Statuses” query on the System homepage (Admissions section). This field determines which application statuses will have reviews generated for them when the procedure is run.

Reviewers

Reviewer Configuration: The “Create Application Review Records (Admission Candidates Only)” Action menu item references these reviewer configuration records.

  • Reviewer: Every reviewer configuration record is a with a person who is reviewing the applications.
  • Reviewer Type: Every reviewer configuration record has a type that can be defined by the school and is useful as a reporting and management layer. Add additional Reviewer Types with the link in the Configuration section.
  • Criteria Category: Criteria category supplies the grouping of criteria that will be applied to the application review records. The criteria can line up with the reviewer type if desired or be distinct.
  • Description: describes the reviewer as a notes field. Example: “Only reviews essay questions.”
  • Filters: Selecting any of these filters (school level, etc.) will cause review records to be created for the Reviewer that fit the criteria. An example of using this would be to create an upper school principal as a reviewer, and assign them the school level filter of Upper School so that they will review all upper school applications.

Review Criteria

The review criteria are the actual criteria used to evaluate applications by reviewers. The criteria are grouped into categories.

Recommendations

Review Recommendations: View the list of current recommendations. Recommendations can be customized by schools, though they all must map to one of the five recommendation categories (Pending, Accept, Discuss, Reject, Waitlist). Add additional ones from the link in the Configuration section.
